The Employee Onboarding Portal guides you through completing required employment paperwork. All documents are signed electronically and stored securely.

Before You Start

Make sure you have:
Your login credentials from HR
Your Social Security Number (for tax forms)
Bank account information (for direct deposit)

Accessing the Portal

  1. Check your email for an invitation from Saguaro Transport
  2. Click the confirmation link in the email
  3. You’ll be redirected to the onboarding portal at /onboarding

Onboarding Steps

Complete each step in order to finish your onboarding:

Step 1: Sign Documents

Review and sign initial employment documents:
  • Employment agreement
  • Company policies acknowledgment
  • Confidentiality agreement

Step 2: Code of Ethics

Read and acknowledge the company Code of Ethics covering:
  • Professional conduct standards
  • Ethical business practices
  • Reporting procedures

Step 3: W-9 Form

Complete the IRS W-9 form for tax purposes:

Step 4: Tax Withholding (W-4)

Set up your federal tax withholding:

Step 5: Direct Deposit

Configure your payroll direct deposit:

Signing Documents

All documents use electronic signatures:

Open Document

Click Sign & Submit on the document card

Fill Form

Complete all required fields (marked with *)

Draw Signature

Use your mouse, trackpad, or finger to sign in the signature box

Submit

Click Submit Document to finalize
If you make a mistake on your signature, click Clear to start over before submitting.

Document Statuses

After submission, your documents go through review:

SubmittedReceived, pending HR review
ApprovedHR has verified and approved
RejectedNeeds revision (you’ll be notified)

Completing Onboarding

Once you submit the Direct Deposit form (Step 5):
  • Your status automatically changes to Active
  • You gain access to the Driver Portal
  • HR will review your documents and reach out if needed

Troubleshooting

  • Verify you’re logged in with the correct email
  • Contact HR to confirm your employee record is set up
  • Ask HR to resend your invitation email
  • Try using a mouse instead of trackpad
  • On mobile, draw directly on the signature area
  • Try a different browser (Chrome recommended)
  • Clear browser cache and reload the page
  • Check the Documents tab for the rejection reason
  • Contact HR for clarification if needed
  • Resubmit with the requested corrections
  • Check all fields marked with asterisks (*)
  • Ensure SSN format is XXX-XX-XXXX
  • Routing number must be exactly 9 digits
  • Account number should not contain special characters
